EVENT PARTICIPANT TERMS AND CONDITIONS
By registering for the Polymer Week 2026 event, the participant acknowledges and agrees to comply with these Event Participant Terms and Conditions established by the Organizer.
Kindly review these Terms and Conditions carefully before proceeding with your registration for the event.
ORGANIZER
The Organizer of the event is Polymer Week s.r.o., with registered address at Pecháčkova 952/24, 318 00 Plzeň, Czech Republic, company number: 08369607.

EVENT
Polymer Week 2026 is an international polymer clay event taking place on October 15–18, 2026 in Pilsen, Czech Republic.
The event includes creative workshops, presentations, community activities, and other event-related experiences prepared by the Organizer. The exact programme, schedule, instructors, class groups, activities, and event details may be adjusted where necessary for organizational, safety, technical, or other practical reasons.
RELATIONSHIP TO GENERAL BUSINESS TERMS AND CONDITIONS
These Event Participant Terms and Conditions apply specifically to registration for and participation in Polymer Week 2026.
They apply together with the General Business Terms and Conditions published on this website. In the event of any conflict between these Event Participant Terms and Conditions and the General Business Terms and Conditions, these Event Participant Terms and Conditions shall prevail in relation to event participation, payment deadlines, cancellation, refunds, programme changes, online or alternative event format, conduct, liability, media release, and other event-specific matters.
REGISTRATION AND PAYMENT
By submitting the registration form, the participant submits a binding registration for the Polymer Week 2026 event and agrees to these Terms and Conditions.
Payment is due within two weeks after registration. Participation is not confirmed until the full payment has been received by the Organizer.
Payments can be made via bank transfer in EUR or CZK, or through available online payment methods, including credit card, Apple Pay, or Google Pay.
The Organizer reserves the right to cancel a registration if payment is not received within the required time.
CANCELLATION BY PARTICIPANT
Participants who cancel their registration are entitled to the following refund conditions:

Until June 30, 2026 – the registration fee will be refunded, less any applicable administrative, management, or payment processing fees.

From July 1, 2026 until August 31, 2026 – 50% of the registration fee will be refunded.

From September 1, 2026 onwards – no refund will be issued.
If a participant is unable to attend the event, they may find a replacement participant at any time without incurring any additional charges. The Organizer must be notified of any replacement as soon as possible, including the full name and contact details of the replacement participant, so that proper arrangements can be made.
The replacement participant must agree to these Terms and Conditions and provide any information required by the Organizer, including information related to lunches, dietary requirements, class arrangements, and event communication.
RIGHT OF WITHDRAWAL
The participant acknowledges that Polymer Week 2026 is an event, leisure, and educational service provided on specific dates.
For this reason, the participant understands that the standard statutory right to withdraw from a distance contract within 14 days may not apply to this type of service, where such exception is permitted by applicable consumer protection law. The cancellation conditions stated above shall therefore apply, unless mandatory applicable law provides otherwise.
EVENT CHANGES
The Organizer will make reasonable efforts to provide the event as announced. However, the Organizer reserves the right to modify the event schedule, instructors, class groups, workshop order, rooms, venue details, activities, and other organizational arrangements where necessary.
In the event of significant changes, participants will be notified as soon as reasonably possible.
A change of schedule, workshop order, room, class group, activity timing, or similar organizational adjustment does not automatically entitle the participant to a refund.
FORCE MAJEURE AND UNFORESEEN CIRCUMSTANCES
The Organizer shall not be liable for failure to provide the event as originally planned if this is caused by circumstances beyond the Organizer’s reasonable control.
Such circumstances may include, but are not limited to, war, terrorism, natural disasters, strikes, government restrictions, pandemics, health-related restrictions, travel restrictions, flight cancellations, serious transport disruption, venue-related emergencies, or other unforeseen circumstances that make it impossible, unsafe, or impractical to hold the event as planned.
In such circumstances, the Organizer reserves the right to cancel, postpone, reschedule, relocate, modify, or transfer the event or part of the event into an alternative format, including an online format.
ONLINE OR ALTERNATIVE EVENT FORMAT
If the Organizer is unable to hold the event in person as planned, or if a significant number of participants are unable to attend due to unforeseen circumstances affecting travel or safety, the Organizer may provide an alternative format.
This may include, but is not limited to, online classes, live Zoom sessions, recorded video classes, PDF tutorials, digital materials, adjusted presentations, or other suitable replacement content connected to the original event.
If an alternative format is provided, it shall be considered a substitute performance of the event, and the Organizer will inform participants about the access method, timing, and available materials.
If the event is cancelled without any replacement, alternative format, postponement, or rescheduling, the Organizer will refund the registration fee paid by participants, less any non-recoverable costs already incurred where permitted by applicable law.
The Organizer is not liable for any additional costs incurred by participants, including but not limited to travel, accommodation, visas, insurance, transport, meals outside the event programme, or any other related expenses. Participants are strongly encouraged to arrange appropriate travel insurance.
LUNCHES, FOOD, ALLERGIES, AND ACCESSIBILITY
Where lunches, snacks, drinks, or other refreshments are included or offered as part of the event, the Organizer will make reasonable efforts to provide suitable options for participants.
Participants are responsible for informing the Organizer of any dietary requirements, allergies, medical conditions, or accessibility needs in the participant form and within the deadline communicated by the Organizer.
The Organizer will make reasonable efforts to accommodate such requirements but cannot guarantee a completely allergen-free environment.
Participants are responsible for assessing whether the event, venue, food, tools, and materials are suitable for their personal health, safety, and accessibility needs.
MATERIALS, TOOLS, AND SAFETY
Participants are responsible for using all tools, materials, machines, and equipment safely and in accordance with the instructions provided by the Organizer, instructors, venue staff, or manufacturers.
Participants must follow all safety instructions during workshops and event activities.
The Organizer is not responsible for damage, injury, or loss caused by improper use of tools, materials, machines, or equipment, or by failure to follow safety instructions.
CHILDREN AND MINORS
Children may attend the event only where a children’s ticket or other specific arrangement has been offered by the Organizer.
Children remain under the responsibility of their parent or legal guardian at all times during the event. Any creative activities offered for children are informal event activities and do not constitute formal childcare, babysitting, or educational supervision.
Parents or legal guardians must remain present at the venue and reachable at all times.
CONDUCT
Participants are expected to conduct themselves in a professional, respectful, safe, and considerate manner throughout the event.
The Organizer reserves the right to remove any participant from the event without refund, where permitted by applicable law, if their behavior is deemed inappropriate, unsafe, disruptive, discriminatory, aggressive, harmful, or disrespectful toward other participants, instructors, staff, guests, or the venue.
Participants must respect the event rules, venue rules, instructors’ instructions, and the personal boundaries and creative work of others.
PHOTOGRAPHY, RECORDING, AND INSTRUCTIONAL CONTENT
Participants may take personal photos during the event unless instructed otherwise by the Organizer or instructor.
Video recording, audio recording, live streaming, or detailed recording of workshop processes, demonstrations, or teaching content is not permitted unless expressly allowed by the Organizer or the relevant instructor.
Workshop projects, tutorials, handouts, demonstrations, and teaching content are provided for participants’ personal creative use only. They may not be copied, sold, published, distributed, taught, shared online, or used for commercial teaching purposes without prior written permission from the relevant rights holder.
LIABILITY
Participants attend the event at their own risk.
The Organizer is not responsible for injuries, losses, accidents, theft, damage to personal belongings, or other damages sustained by participants during the event, except where such liability cannot be excluded under applicable law.
Participants are responsible for their personal belongings, travel documents, valuables, tools, materials, and any items brought to the event.
MEDIA RELEASE
Photos and videos may be taken during the event for documentation, promotional, marketing, social media, press, and archival purposes.
By attending the event, participants acknowledge that they may appear in group photos, general event photographs, or event footage.
If a participant does not wish to be photographed or recorded individually, they should inform the Organizer in writing before the event. The Organizer will make reasonable efforts to respect such request, but cannot guarantee exclusion from all group images, background images, or general event documentation.
For individual interviews, testimonials, or close-up promotional recordings, the Organizer may request separate consent where appropriate.
PRIVACY AND PERSONAL DATA
The Organizer will collect and process personal data solely for purposes connected with event registration, payment processing, event organization, participant communication, food and dietary arrangements, safety, legal compliance, and event documentation.
Personal data will not be shared with third parties without the participant’s explicit consent, except where necessary for event operations, payment processing, legal compliance, accounting, communication, catering, venue arrangements, or other legitimate event-related purposes.
Further information about personal data processing, including participants’ rights under GDPR, may be provided in the Organizer’s Privacy Policy or upon request.
CONSUMER DISPUTE RESOLUTION
In the event of a consumer dispute, the participant may contact the Organizer first at support@polymerweek.com so that the matter can be resolved directly.
Where applicable, consumers may also contact the Czech Trade Inspection Authority (Česká obchodní inspekce) as the competent body for alternative consumer dispute resolution.
GOVERNING LAW AND AGREEMENT
These Terms and Conditions are governed by the laws of the Czech Republic.
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain valid and enforceable to the fullest extent permitted by applicable law.
These Terms and Conditions are prepared in English. If a translation into another language is provided, the English version shall prevail unless expressly stated otherwise.
By registering for the event, the participant acknowledges that they have read and understood these Terms and Conditions and agrees to be bound by them.
